Health information can be highly sensitive. EHG collects the minimum information needed for a clear purpose, protects it appropriately and explains how it is used. Website enquiry tools prepare an email in the visitor’s own mail application.

Information at first contact

The website asks for contact details, enquiry category and a broad description. Visitors are asked not to send medication lists, full medical histories, documents, third-party details or urgent disclosures through a general enquiry.

How the enquiry tools work

The Find Support guide runs in the browser. Answers stay within the page until the visitor chooses to open an editable summary in their own email application.

Purposes and legal bases

EHG processes information to respond to enquiries, take requested steps before a service agreement, provide agreed services, manage payments and meet legal or professional duties. Depending on the activity, the UK GDPR lawful basis may be steps before a contract, performance of a contract, legal obligation or legitimate interests. Where health or other special-category information is used, EHG also records an appropriate Article 9 condition, such as explicit consent or provision of health or social care where the legal requirements are met.

Sharing and referrals

When a referral is agreed, relevant information is shared only with the practitioner or team member receiving that referral. The person is told what will be shared and why, with consent recorded where this is the appropriate basis. Safeguarding and legal duties may require a different information-sharing basis.

Records and retention

Clinical records are kept physically in secured storage. Enquiry records are held on secured servers. Records are normally retained for seven years, with a different period applied where professional standards, safeguarding duties or data-protection requirements call for it.

Your rights

Depending on the processing, people may have rights to access, correct, erase, restrict or object. Requests can be sent to Info@CoachDann.com. People may also raise a concern with the Information Commissioner’s Office.

Communication platforms

Email is the current booking route. Zoom and WhatsApp may be used for sessions and messages by agreement. EHG keeps relevant supplier and security information in its internal records. The service agreement and consent process explain platform use, privacy terms and any relevant international processing.

Data protection by design

Future booking, analytics, portal or marketing tools require a processor and cookie review, suitable contracts, security assessment, retention rules and updated notices before activation.
